Arenatip #6 - How to optimize the organization of your account?

A well-structured Arenametrix account is key to making the most of the tool. A clear and organized setup allows all teams to easily navigate through the data, execute actions quickly, and collaborate efficiently. It also provides a significant time-saving benefit on a daily basis. This guide serves as a starter pack to ensure a successful launch.

  • Structure your account to ensure smooth usage for all users.
  • Save time in managing and analyzing your data.
  • Prepare the groundwork for effective marketing and CRM actions.


Step 1 - Create "Types of" Pricing / Categories / Products

A good segmentation of pricing, categories, and products is essential for effective data management. By structuring this information into clear groups, you will be able to create your lists more easily and analyze results better. The names of categories should be consistent and easily understood by all users.

 

  • Click on the dropdown menu located at the top right of your screen.

  • Select the "Settings" option from the menu.

  • Go to the "Products/Categories" section.

  • Once on the page, use the "+" button to add new "types of".


  • Suggested families to create:
    • Products: Championship, Cup, Regular Season, Playoff, Store (Merchandising, Lifestyle, Merchandise, etc.)
    • Categories: Stand, VIP
    • Pricing: Invitation, General Public, VIP, Student, Family, Discounted (youth, unemployed, etc.)

 

  • Feel free to adapt these categories to your club's specific context for optimal organization.

 

Step 2 - Organizing folders

Over time, the volume of lists and data in Arenametrix can grow significantly. Therefore, organizing folders is crucial to quickly finding the necessary information and avoiding time loss. A clear folder structure contributes to smoother collaboration between different users. 

  • Go to the "Lists" tab in the "Contacts" section.

  • Use the "+" button to create main folders based on the major list categories.

  • Suggested organization:
    • 0. Newsletter / General Communication
    • 1. Subscribers
    • 2. Ticketing
    • 3. CE/CSE Communication
    • 4. Merchandising
    • 5. Fan Journey - Marketing Automation
    • 6. Fan Behaviors
    • 7. Multi-Consent (if you have the consent management module)
    • 8. Alerting

 

Step 3 - Create your starter pack of the 11 essential lists

A good starter pack of lists is essential to start your campaigns effectively. It allows you to quickly target key segments.

 

1. Create a list "Subscribers 20XX - 20XX (previous seasons)" on Arenametrix
  • Filters :
    • Include :
      • Product types: Subscription
        • Ticket status: Sold
      • Season: The last 2 previous seasons 20XX/20XX and 20XX/20XX

  • Status : Static

 

 

2. Create a list "Subscribers 20XX/20XX (current season)" on Arenametrix

  • Filters :
    • Include :
      • Product types: Subscription
        • Ticket status: Sold
      • Season: 20XX/20XX

  • Status : Dynamic

 

 

3. Create a list "First-Time Buyers GP Ticketing" on Arenametrix

  • Filters :
    • Include :
      • Number of purchases: equal to 1
        • Ticket status: Sold
      • Sales channels: all those related to Ticketing
      • Purchase period: define the desired period

  • Status : Dynamic

 

 

4. Create a list "First-Time Buyers GP Ticketing 20XX/20XX (current season)" on Arenametrix

  • Filters :
    • Include :
      • Number of purchases: equal to 1
        • Ticket status: Sold
      • Sales channels: all those related to Ticketing
      • Season: 20XX/20XX

  • Status : Dynamic

 

 

5. Create a list "Prospects GP (Core Target)" on Arenametrix

This list is essential for your prospecting. It includes all fans who have attended at least one game in the last two or three seasons. It should form the basis of your prospecting.

  • Filters:
    • Include :
      • Number of performances: greater than or equal to 1
        • Ticket status: Sold
      • Season: select the last two or three seasons

    • Exclude :
      • Product type: Subscription
        • Ticket status: Sold

  • Status: Dynamic

 

 

6. Create a list "Buyers 'Event Name'" on Arenametrix

This list should be replicated for each match of the season to target ticket buyers in your ticketing communication and strengthen their loyalty by supporting them throughout their entire fan journey.

  • Filters:
    • Include :
      • Product: 'Event Name'
      • Ticket status: Sold

  • Status: Dynamic

 

 

7. Create a list "Buyers GP x3 20XX/20XX (current season)" on Arenametrix

  • Filters:
    • Include :
      • Number of performances: greater than or equal to 3
        • Ticket status: Sold
      • Season: 20XX/20XX

    • Exclude :
      • Product type: Subscription
        • Ticket status: Sold

  • Status: Dynamic

 

 

8. Create a list "Buyers GP x3 20XX - 20XX (previous seasons)" on Arenametrix

  • Filters:
    • Include :
      • Number of performances: greater than or equal to 3
        • Ticket status: Sold
      • Season: Previous seasons 20XX/20XX, 20XX/20XX, etc.

    • Exclude :
      • Product type: Subscription
        • Ticket status: Sold

  • Status: Dynamic

 

 

9. Create a list "-20km from 'Stadium Name'" on Arenametrix

  • Filters:
    • Include :
      • Distance: less than or equal to 20
        • Location: 'Stadium Name'

  • Status: Dynamic

 

 

10. Create a list "Student/Young Target" on Arenametrix

  • Filters:
    • Include :
      • Age: between 18 and 26

  • Status: Dynamic
