How to create a welcome email scenario?

Automate the sending of a welcome email in Brevo

1. Create a welcome email scenario

This scenario requires a subscription list that can be fed through a form, a ticketing system, or manually. The welcome email will be sent to contacts when they join this list for the first time.

From the Automations module, click Create an automation, then select Create from scratch.

Name your scenario clearly at the top left of the screen (1) so that you can easily identify it in your list of automations.

Next, in the Triggers tab, select Added to list (2), then drag this block to the right (3).

Then choose the relevant list, for example your Newsletter Subscribers list (1).
The scenario will be triggered for all contacts added to this list after the automation is activated.

Once the list is selected, click Save (2).

Now go to the Actions tab (1), then select Send an email (2) and drag the action under the trigger. This step corresponds to the automatic sending of your welcome email.

In the Send an email action settings, click Add a message (1).

You can then:

  • create a new email from a template or from scratch (2),
  • or select an existing email already saved in your library.

To easily find an existing welcome email, you can use the keyword search (e.g. welcome).

Once the email is selected, click Save.

After selecting the email template, remember to review and adjust the message settings before saving it.

Make sure to specify:

  • the email subject, which should be clear, personalized and engaging,

  • the preview text, visible in the inbox,

  • the sender, to ensure consistent identification of your organization.

In the additional settings, you can also refine the sending conditions, for example by scheduling the message to be sent at the optimal time.


2. Go further by enriching the journey with a delay and a second email

In the Rules tab (1), select the Delay block (2), then drag it under the Send an email action.

Then define the waiting time before the next step (days, hours or minutes). This delay corresponds to the time the contact will remain in the journey before moving to the next step.

Once the delay is set, click Save.

Finally, you can follow the same process as explained previously by selecting Send an email again and choosing a new email template.

 

3. Test and activate your scenario

Your scenario is now ready. Before activating it, we recommend clicking Test to ensure the journey works properly.
Once the test is validated, click Activate automation.

From that moment on, every new contact added to the newsletter list will automatically receive your welcome email.
